IFTA Filing Service

An IFTA filing service can organize jurisdiction mileage, fuel purchases, quarterly returns, and account records for qualifying interstate vehicles. Many providers also handle IRP apportioned registration, UCR, HVUT, and state mileage or weight permits.

When to bring in outside help

Seek help before the first interstate trip, when adding vehicles or jurisdictions, after missing a quarterly filing, or when ELD mileage, fuel-card data, and tax records do not reconcile. State requirements and filing systems differ.

A consultant should start by checking the facts against your actual operation. Fleet size, driver status, interstate or intrastate work, cargo, authority, and the records already on file can change what is required. A provider should explain which duties stay with the motor carrier, even when administrative work is outsourced.

What a capable provider should review

  • Vehicle weight, axle, use, and jurisdiction coverage
  • Base jurisdiction and account status
  • Distance by jurisdiction and source data
  • Tax-paid fuel receipts and bulk fuel records
  • Quarterly IFTA returns and prior balances
  • IRP cab cards, apportioned plates, and fleet changes
  • UCR, Form 2290, and state-specific permit dates

Ask for a written scope that identifies the records being checked, the missing evidence, who will correct each item, and any deadline imposed by an agency or customer. A polished binder or software dashboard is not a substitute for records that match what drivers and vehicles are doing day to day.

What good support should produce

A filing provider should return copies of applications, filed returns, confirmations, payment details, decals or credentials, and the workpapers behind each calculation. The carrier should be able to reproduce mileage and fuel totals during an audit.

Before appointing a provider, ask who will do the work, how often records are checked, how urgent notices are handled, and what you can take with you if the relationship ends. Confirm whether government filing fees, laboratory charges, MVR fees, query fees, travel, or representation are included. Keep copies under the carrier’s control.

Questions to ask a DOT compliance company

  1. Which federal and state rules apply to this operation?
  2. What will you check first, and what evidence do you need from us?
  3. Which tasks remain the motor carrier’s legal responsibility?
  4. How will you document corrections and follow-up?
  5. What is included in the price, and which outside fees are separate?
  6. Have you handled fleets of this size and this type of operation?

Check the official rule before acting

IFTA administration is handled through the carrier's base jurisdiction, with official materials and jurisdiction contacts available through IFTA official International Fuel Tax Association website. Government guidance should be the starting point for a regulatory decision. A consultant can help apply it to the carrier’s records, but cannot change an agency deadline or promise an outcome.

Frequently asked questions

Is IFTA the same as IRP?

No. IFTA covers fuel-use tax reporting, while IRP apportions vehicle registration fees. A carrier may need both.

Do IFTA returns still have to be filed with no travel?

Requirements are controlled by the base jurisdiction. Many accounts still require a zero return for an open reporting period, so check the jurisdiction instructions.

Does hiring a consultant transfer responsibility?

No. A motor carrier may use a service agent or consultant for agreed tasks, but the carrier remains responsible for compliance with the rules that apply to its operation.
